RPC designed, built and supported a utility to transfer data from a legacy time capture system to update Primavera P6 with period cumulative values. The utility uses the Primavera API and can be manually or automatically scheduled to run.

Approach

Process

The client provided a multi project Excel spreadsheet containing the values to be imported. When scheduled or called to be run, the utility:

  • Transfers (for each project in the excel spreadsheet) cumulative actual cost and actual units to the correct resource allocation in P6
  • Produces a check balance report detailing all the transactions
  • Has a facility to automatically store period actuals
  • Moves the processed file to an  archive area

A bespoke P6 properties XML is used to record entry keys to identify where data is stored including, database connection parameters, log files, utility features etc.

 

Error Checking and Reconciliation

The utility carries out a number of error checks:

  • Resource allocation validation – e.g. if the resource does not exist in P6 it will not post the actuals
  • Reconciliation of values posted from Excel to P6

Testing and Training

Full end-to-end testing was carried out simulating the process in a live environment capturing both successful and 'known failure' scenarios.

On site knowledge transfer was carried out to ensure the end user could confidently run the process with the minimum of support.

Documentation

Full end user documentation was provided.

Support

RPC provides an annual support contract ensuring the future proofing and forward compatibility of the utility.
